Acceptable Use Policy

This Acceptable Use Policy (“AUP”) governs your use of Annabot's lead generation and email outreach services. This policy is designed to protect our users, their recipients, and our platform's reputation. Violations may result in immediate account suspension or termination.

Your Responsibility

You are solely responsible for ensuring your use of Annabot complies with all applicable laws in your jurisdiction and the jurisdictions of your email recipients. Non-compliance with email marketing laws can result in significant fines and legal action against you.

1. Email Outreach Requirements

When using Annabot to send emails, you MUST comply with the following requirements:

Required for All Emails

  • Include a clear, working unsubscribe link in every email
  • Include your valid physical postal address
  • Use accurate “From” and “Reply-To” information
  • Use non-deceptive subject lines that reflect the content
  • Identify the message as an advertisement (if applicable)
  • Honor unsubscribe requests within 10 business days
  • Only send to business email addresses for B2B outreach

2. Prohibited Content

You may NOT use Annabot to send content that:

Absolutely Prohibited

  • Spam or unsolicited bulk commercial email
  • Phishing attempts or deceptive content designed to steal credentials
  • Malware, viruses, or malicious code
  • Content that harasses, threatens, or bullies recipients
  • Illegal content or content promoting illegal activities
  • Adult or sexually explicit content
  • Gambling or casino promotions (where prohibited)
  • Content that infringes intellectual property rights
  • False or misleading claims about products or services
  • Content that impersonates another person or entity
  • Multi-level marketing (MLM) or pyramid scheme promotions
  • Get-rich-quick schemes or financial fraud

3. Prohibited Activities

You may NOT:

  • Purchase, rent, or use third-party email lists obtained without proper consent
  • Send emails to recipients who have previously unsubscribed
  • Use harvested email addresses (scraped from websites without permission)
  • Send emails to personal email addresses for commercial purposes without consent
  • Falsify or manipulate email headers or sender information
  • Attempt to bypass spam filters or deliverability measures
  • Share your account credentials with unauthorized users
  • Use the platform to send emails on behalf of third parties without proper agreements
  • Exceed reasonable sending volumes that could impact our infrastructure
  • Use automated tools to create multiple accounts

4. Geographic Restrictions

Different jurisdictions have different email marketing laws. You must comply with the laws applicable to both your location and your recipients' locations:

5. B2B Legitimate Interest

Annabot is designed for business-to-business (B2B) outreach. Under certain conditions, you may be able to rely on “legitimate interest” as a lawful basis for processing and contacting business professionals. To rely on legitimate interest, you should:

  • Only contact individuals in their professional capacity
  • Ensure your outreach is relevant to their professional role
  • Conduct and document a legitimate interest assessment
  • Provide clear and easy opt-out mechanisms
  • Limit the frequency and volume of your outreach
  • Respect opt-outs immediately

Note: Legitimate interest may not be valid in all jurisdictions. When in doubt, obtain explicit consent before sending marketing emails.

6. Sending Limits and Best Practices

To maintain deliverability and protect our platform:

  • Warm up new email domains gradually before high-volume sending
  • Monitor your bounce rates and spam complaint rates
  • Keep bounce rates below 5% and spam complaints below 0.1%
  • Remove invalid email addresses promptly
  • Do not send more than your plan allows per day
  • Space out your sends to avoid triggering spam filters

7. Data Handling Requirements

When handling lead data obtained through Annabot:

  • Use lead data only for legitimate business purposes
  • Do not resell, share, or distribute lead data to third parties
  • Implement appropriate security measures to protect stored data
  • Honor data deletion requests from individuals
  • Do not use data for purposes that would be unexpected to the data subject
  • Maintain records of your lawful basis for processing

8. Monitoring and Enforcement

We actively monitor for policy violations through:

  • Automated spam and abuse detection systems
  • Bounce rate and complaint rate monitoring
  • User reports and feedback
  • Periodic audits of account activity

9. Consequences of Violations

Violations of this policy may result in:

  • Warning: First-time minor violations may receive a warning
  • Sending Limits: Temporary restrictions on email volume
  • Account Suspension: Temporary suspension pending investigation
  • Account Termination: Permanent closure without refund for serious violations
  • Legal Action: We reserve the right to pursue legal remedies for damages

10. Reporting Violations

If you receive unwanted emails from an Annabot user or witness policy violations, please report them to us:

11. Changes to This Policy

We may update this Acceptable Use Policy from time to time. Material changes will be communicated via email or through the platform. Continued use of the Services after changes constitutes acceptance of the updated policy.
